Client Background & The Brief
The Global Fintech Fest (GFF) is an annual conference on fintech and related sectors and is recognised as the world’s largest conference focused on fintech. The event brings together global policymakers, regulators, central bankers, industry leaders, innovators, and academicians to discuss, deliberate, and showcase challenges, solutions, and innovations within the fintech ecosystem
The conference features extensive industry participation, with a large number of exhibitors from across the world and multiple conference tracks running simultaneously.
For the 2025 edition, GFF introduced an AI-based content availability feature on its platform/app. This enabled users to access content from various conference tracks and interact with an AI bot based on the sessions conducted.
To support this initiative, the brief required a highly reliable and robust video production setup capable of capturing sessions across multiple halls and feeding recorded conference data to the AI platform almost in real time, ensuring content availability immediately after each session concluded.
Objective
- Capture simultaneous multi-track conference sessions
- Ensure conference video data is made available to the AI platform in real time
- Maintain consistent capture quality across all conference rooms
- Execute uninterrupted live capture over multiple event days
- A total of 11 conference rooms were running parallel sessions that required simultaneous video capture.
- Live streaming of select sessions on various online portals including Youtube and client’s website and APP
- Provision for two way interactivity for speaker/presenter not able to travel to the event location using video conference technology
What We Did
To achieve the client’s objective, detailed planning was carried out to manage simultaneous session capture across multiple venues while ensuring timely data delivery to the AI platform.
- Deployed dedicated setups across all 11 conference rooms simultaneously
- Installed on-site encoder systems to support immediate processing and delivery of captured sessions
- All sessions were made available separately for archival purpose on immediate basis after the session ends
- Assigned trained and experienced technical manpower who understood the critical nature of real-time delivery requirements
- Ensured all production workflows aligned with the quality and format requirements specified for the AI platform
- Deployed video conference facility wherever required for the sessions where presenter would be joining remotely
